Terms & Conditions

These Terms & Conditions apply to all bookings for the Freaks & Fairies Art Retreat, hosted by Heart of The Tribe Gallery.

Throughout these Terms & Conditions:

  • "We", "our" and "us" refer to Heart of The Tribe Gallery.

  • "You" and "your" refer to the person making the booking and anyone included within that booking.

By making a booking, you confirm that you have read, understood and agreed to these Terms & Conditions.

1. Your Booking

Your place on the retreat is only confirmed once we have received your deposit or full payment.

If you choose to pay by instalments, all agreed payments must be made by the dates outlined in your payment plan.

The full balance must be paid before the retreat begins (unless you have made other arrangements with us).

2. What's Included

Unless otherwise stated, your retreat booking includes:

  • Three nights' accommodation

  • All creative workshops

  • Workshop materials (except where participants are asked to bring a personal item)

  • Breakfast, lunch and dinner as outlined in the itinerary

  • Tea, coffee and soft drinks during meals

  • Access to the shared accommodation, gardens and hot tub

  • Heart of The Tribe Gallery welcome gift and drinks

3. What's Not Included

Your booking does not include:

  • Travel to or from Glastonbury

  • Travel insurance

  • Alcoholic drinks

  • Personal purchases

  • Optional activities outside of the retreat programme

4. Cancellation by You

All cancellations must be made in writing by email.

The following cancellation policy applies:

  • Your initial deposit is non-refundable.

  • If you cancel more than 60 days before the retreat, any payments made beyond your deposit will be refunded.

  • If you cancel within 30 days of the retreat start date, no refund will be given.

If you are unable to attend, you may transfer your place to another person if you wish.

5. Cancellation by Us

In the unlikely event that we need to cancel the retreat due to unforeseen circumstances, including insufficient bookings, illness, or events beyond our reasonable control, you will receive a full refund of all monies paid to us.

Our liability is limited to the amount you have paid for the retreat. We cannot accept responsibility for any additional costs you may have incurred, including travel, accommodation booked elsewhere or other personal expenses.

6. Accommodation

Accommodation is shared unless you have booked a private room.

Guests booking a shared twin room for 1 person will be paired with another participant if travelling alone.

Bedrooms are allocated according to the room booked and cannot be changed.

Please respect both the property and your fellow guests throughout your stay.

Any damage caused through negligence or misuse may be charged to the guest responsible.

7. Workshops

The workshops are suitable for beginners through to experienced creatives.

All reasonable care is taken to provide a safe and enjoyable creative environment. However, participation is voluntary and at your own risk.

Some workshops involve the use of scissors, sewing equipment, paints, adhesives and other art materials. Participants are expected to use these responsibly and follow any guidance provided by the artists.

8. Health & Wellbeing

Please let us know before booking if you have any medical conditions, allergies, dietary requirements or accessibility needs that may affect your participation.

Whilst we will do our best to accommodate reasonable requirements, we cannot guarantee that every dietary or accessibility request can be met.

If you have concerns about whether the retreat is suitable for you, please contact us before booking.

9. Personal Belongings

You are responsible for your own belongings throughout the retreat.

We cannot accept responsibility for loss, theft or damage to personal items.

10. Behaviour

We aim to create a warm, welcoming and respectful environment for everyone.

If a participant behaves in a way that is threatening, abusive, disruptive or puts others at risk, we reserve the right to ask them to leave the retreat without refund.

11. Photography

We may take photographs or short videos during the retreat for future marketing.

If you would prefer not to appear in any promotional material, please let us know before the retreat begins and we will fully respect your wishes.

12. Force Majeure

We shall not be liable for cancellation, delay or changes caused by circumstances beyond our reasonable control, including but not limited to severe weather, natural disasters, government restrictions, industrial action, pandemics or other unforeseen events. Where possible, we will offer an alternative date or an appropriate refund.

13. Liability

Participation in the retreat is entirely voluntary.

To the fullest extent permitted by law, Heart of The Tribe accepts no responsibility for injury, illness, loss or damage to personal property unless caused directly by our negligence.

Nothing within these Terms excludes liability where such exclusion would be unlawful under English law.

14. Governing Law

These Terms & Conditions are governed by the laws of England and Wales.

Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
